Cold room preventive maintenance: what to check

Cold room preventive maintenance is not a fixed checklist applied to any system: it is a plan built around each room's criticality and revised from its history. Even so, what gets checked is well known, and knowing what belongs in it helps you demand the right service and notice when something was left out. This guide separates what the operation itself can check day to day from what takes a technician and instruments, and shows what a visit report needs in order to serve as history.

What the technician checks at each visit

  1. Thermodynamic inspection

    Measuring the cycle in operation: suction and discharge pressures, temperatures, superheat and subcooling. It shows whether refrigerant is low, heat exchange is impaired or the compressor has lost performance, before the symptom shows in the room.

  2. Refrigerant charge and leaks

    Checking the charge from the measurements and searching for leaks at joints, brazed connections and valves. Topping up refrigerant without finding the leak is not maintenance; it is postponement.

  3. Condenser

    Technical cleaning of the fins, fans turning freely, nothing blocking the airflow. A dirty condenser raises the condensing pressure, increases energy use and shortens the compressor's life.

  4. Evaporator, defrost and drain

    Clean coil, fans and blades intact, defrost heater and sensor working, a defrost schedule suited to the operation, the drain flowing and heated where needed. This is where recurring ice is prevented.

  5. Doors, gaskets and insulation

    Gaskets, closing, curtains and signs of infiltration (ice and condensation on edges, panels and ceiling). The door is the largest source of unplanned heat load.

  6. Electrical

    Control panel: contactors, relays, protections, tightness of connections, motor currents compared with the nameplate, voltage and phase sequence. A good share of shutdowns starts with a loose connection or a worn contactor.

  7. Controls and alarms

    Controller calibration against a reference thermometer, setpoint and differential checked against the contractual range, temperature and door alarms tested. An alarm nobody tests protects nobody.

  8. Compressor and lubrication

    Oil level and appearance where there is a sight glass, noise and vibration, crankcase heating, start and stop cycles. A compressor that cycles too often or runs nonstop is asking for a diagnosis.

What each visit report has to include

Measurements with values (pressures, temperatures, currents), work performed, nonconformities found and prioritised recommendations, with date and responsible person. Without numbers, the report is no history; with numbers, the next visit compares, and the trend shows: pressure rising, current out of the normal, longer defrosts. That history is what says when to adjust the plan and when it is worth planning a replacement instead of carrying on repairing.

  • Unexpected shutdowns that repeat on the same equipment
  • Temperature that swings through the day or takes long to recover after the doors
